How To Run a User Group Handbook

SAMPLE JOB DESCRIPTIONS

PRESIDENT - Coordinates and manages the entire committee, establishes meeting agendas, and solicits speakers. Is in charge of leading the User Group meetings.

VICE PRESIDENT - Works with President to set meeting agenda and coordinates logistical information for speakers and meeting registration. Negotiates meeting space and establishes timeline for meeting announcements.

SECRETARY/TREASURER - Takes minutes at User Group Board/Officer Meetings and provides them in printable form. Sends report to all officers within 2 weeks of meeting. Handles all finances for User Group and provides profit/loss report to President after each meeting/conference.

MEMBERSHIP/REGISTRATION - Keeps membership list accurate and current, making necessary changes, addition and deletions. Provides mailing labels for meeting announcements and coordinates meeting registration. Provides name tags for attendees and ribbons for speakers/vendors/officers/attendees to attach to name tag.

NEWSLETTER CHAIR - Compiles all newsletter information and collates for printer or prepares for electronic distribution. Reviews entire newsletter with President prior to publication. Arranges with printer to print newsletter, affix labels, sort for bulk rate and mail.

PUBLICITY - Takes pictures at meeting/conference to be published in newsletter or website. Writes a meeting summary for publication in newsletter and submission for Interex publications.

VENDOR LIAISON - Responsible for advertisement/recruitment of vendors. Coordinates with Vice President for number of booths and vendor headcount. Provides exhibitor list, vendor ads, vendor information, and answers any vendor questions. Targets vendor donations to offset the cost of the meeting/conference sessions. Submits list of vendor names to Membership/Registration for badges.

SPEAKER CHAIR - Solicits and coordinates all speakers for User Group meeting based upon agenda. Works with HP Speaker Program to acquire HP speakers. Sends a list of all speakers to Membership/Registration for badges. Purchases speaker gifts and sends "thank you" notes to speakers after meeting/conference.

HP LIAISON - Provides mailing service for User Group newsletter and/or meeting announcement. Works closely with President and Vice President on any User Group issues. Determines methods to utilize/extract databases unique to HP to increase awareness of User Group.
